Booking Terms & Conditions

1. Introduction

These Booking Terms & Conditions govern all direct reservations made through the Mardon Holiday Home website.

By making a reservation, the lead guest confirms that they have read, understood and accepted these Terms & Conditions on behalf of all guests included in the booking.

These Terms apply to bookings made directly through our website and should be read alongside our Privacy Policy, Cancellation Policy, House Rules and other published policies.

2. About the Accommodation

Mardon Holiday Home is a licensed self-catering holiday accommodation located in Inverness, Scotland.

Accommodation may be booked as:

  • Main House
  • Executive Suite (Annex)

Bookings are subject to availability and confirmation.

3. Eligibility to Book

The lead guest must:

  • Be at least 18 years of age.
  • Have the legal authority to enter into a binding contract.
  • Provide accurate booking information.
  • Ensure all guests comply with these Terms & Conditions.

We reserve the right to refuse or cancel bookings where false or misleading information has been provided.

4. Booking Confirmation

A booking is not confirmed until:

  • Payment (or any required deposit) has been successfully received; and
  • A booking confirmation has been issued by us.

Until confirmation is issued, availability cannot be guaranteed.

5. Pricing

All prices displayed on our website are subject to change until a booking has been confirmed.

The confirmed booking price includes only those services expressly stated during the booking process.

Additional charges may apply where clearly disclosed, such as:

  • Cleaning fees
  • Optional extras
  • Applicable taxes or government charges (where required)

Obvious pricing errors may be corrected before a booking is confirmed.

6. Payments

Payment is by bank transfer, using a secure payment link sent to you once your booking is confirmed. We never ask for card details by email.

Where a deposit option is offered, the remaining balance must be paid by the deadline specified during the booking process.

Failure to make payment by the due date may result in cancellation of the reservation.

7. Guest Information

The lead guest may be required to provide:

  • Full name
  • Contact details
  • Number of guests
  • Estimated arrival time
  • Vehicle details (if requested)
  • Any information reasonably required to facilitate the stay

Providing false information may result in cancellation without refund where permitted by law.

8. Occupancy Limits

The maximum occupancy for each accommodation must not be exceeded.

Only guests included in the reservation may stay overnight unless prior written approval has been obtained.

Unauthorised overnight guests may result in additional charges or termination of the booking.

9. Check-in

Check-in instructions will normally be provided before arrival. Unless otherwise agreed:

  • Guests should not arrive before the published check-in time.
  • Self check-in instructions must be treated as confidential.
  • Access codes must not be shared with anyone outside the booking.

10. Check-out

Guests are expected to vacate the property by the published check-out time. Unless otherwise agreed, guests should:

  • Leave the property in a tidy condition.
  • Lock all doors and windows.
  • Switch off unnecessary appliances.
  • Return any keys where applicable.
  • Report any damage before departure.

Late departures may incur additional charges where communicated in advance.

11. Guest Responsibilities

Guests agree to:

  • Respect the property.
  • Respect neighbouring residents.
  • Follow all House Rules.
  • Use appliances safely.
  • Supervise children at all times.
  • Keep the property secure during their stay.
  • Immediately report any maintenance issues or damage.

12. House Rules

Guests must comply with all published House Rules. Failure to do so may result in:

  • Additional cleaning charges.
  • Damage charges.
  • Early termination of the stay.
  • Refusal of future bookings.

13. Smoking

Smoking and vaping are only permitted where specifically authorised.

Where smoking is prohibited, guests may be charged for specialist cleaning and deodorising if evidence of smoking is found inside the property.

14. Pets

Pets are only permitted where expressly stated during the booking process or approved in writing.

Additional cleaning charges may apply where necessary.

Owners remain responsible for their pets at all times.

15. Parties and Events

Unless expressly authorised in writing:

  • Parties are prohibited.
  • Events are prohibited.
  • Excessive noise is prohibited.
  • Commercial activities are prohibited.

We reserve the right to terminate a booking where these conditions are breached.

16. Damage

Guests are responsible for any damage caused during their stay beyond normal wear and tear.

Where damage occurs, reasonable repair or replacement costs may be charged.

Guests should report accidental damage as soon as reasonably possible.

17. Property Condition

Guests should notify us promptly if they discover any issue with the accommodation upon arrival.

Failure to report issues promptly may affect our ability to investigate or resolve the matter.

18. Cancellation by Guests

Guest cancellations are subject to our separate Cancellation & Refund Policy.

Any applicable refunds will be processed in accordance with that policy.

19. Cancellation by Us

In exceptional circumstances, we may need to cancel a booking due to reasons beyond our reasonable control, including:

  • Property damage
  • Safety concerns
  • Utility failures
  • Government restrictions
  • Force majeure events

Where this occurs, we will make reasonable efforts to offer an alternative stay or provide an appropriate refund in accordance with applicable law.

20. Liability

Nothing in these Terms excludes or limits liability where it cannot legally be excluded.

Subject to applicable law, our liability is limited to the value of the booking unless otherwise required.

We are not responsible for:

  • Personal belongings left at the property.
  • Travel delays.
  • Weather conditions.
  • Third-party services.
  • Events beyond our reasonable control.

Guests remain responsible for their own travel insurance where appropriate.

21. Lost Property

Items left behind may be retained for a reasonable period.

Where requested, we may arrange return shipping at the guest's expense.

We cannot guarantee recovery of lost items.

22. Complaints

If you experience any issue during your stay, please contact us as soon as possible so that we have an opportunity to resolve the matter promptly.

Complaints raised only after departure may be more difficult to investigate.

23. Force Majeure

We shall not be liable for delays, cancellations or failure to perform our obligations where caused by circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, government action, public health emergencies, utility failures or other unforeseen events.

24. Privacy

Personal information provided during the booking process will be handled in accordance with our Privacy Policy.

25. Governing Law

These Booking Terms & Conditions are governed by the laws of Scotland.

Any disputes shall be subject to the jurisdiction of the Scottish courts, except where applicable consumer protection legislation provides otherwise.

26. Changes to These Terms

We reserve the right to update these Booking Terms & Conditions from time to time.

The latest version published on our website will apply to future bookings.
